Refund and Cancellation Policy
Last updated:
This policy explains how Rystedt Advisory bills for services, how clients can cancel, and when refunds are available. Rystedt Advisory is the trade name of Joshua Rystedt DBA Rystedt Advisory, a sole proprietorship based in Atlanta, Georgia. This policy is part of the Rystedt Advisory Terms of Service. If a signed engagement agreement, proposal, or statement of work ("SOW") conflicts with this policy, the signed document controls.
Rystedt Advisory provides business-to-business consulting services. All payments are invoiced and collected through Stripe by card or ACH bank transfer.
1. Summary
| Service | How it is billed | Cancellation | Refund |
|---|---|---|---|
| Discovery | Fixed price, in full before kickoff | Any time by written notice | Full refund if cancelled before the kickoff session; non-refundable once work begins |
| Implementation | Fixed price, per the SOW payment schedule | Any time by written notice | You pay for work completed plus non-cancellable third-party costs; any prepaid balance beyond that is refunded |
| Maintenance (annual) | Annually in advance (default) | Written notice at least 30 days before renewal | Full refund within 14 days of the start of a term if no work was requested; non-refundable after that |
| Maintenance (monthly) | Monthly in advance (costs 15% more over a year) | 30 days' written notice | No refunds for months already billed |
2. Discovery
- Discovery is a fixed-scope, fixed-price advisory phase, billed in full before the Discovery kickoff session.
- Cancellation before kickoff: If you cancel in writing before the kickoff session, you receive a full refund.
- Cancellation after kickoff: Once the kickoff session has taken place, Discovery is non-refundable. If you cancel partway through, Rystedt Advisory will deliver the findings completed up to that point.
- Rescheduling: You may reschedule the kickoff session or Discovery meetings with at least 2 business days' notice at no cost.
- Discovery credit: Any credit of Discovery fees toward Implementation applies only as stated in your Discovery proposal and is not redeemable for cash or Maintenance.
3. Implementation
- Implementation is fixed-price according to the approved Discovery plan or SOW, billed on the payment schedule in the SOW. Unless the SOW states otherwise, 50% is due at signing as a deposit and 50% at completion. The deposit is refundable only to the extent it exceeds the amounts owed on cancellation, as described below.
- Implementation is typically paired with Maintenance; any exception is set out in the proposal or SOW. When Implementation is paired with Maintenance, cancelling Implementation does not by itself cancel Maintenance, and cancelling Maintenance before Implementation is complete is treated as cancelling both.
- Cancellation: You may cancel Implementation at any time by written notice. You pay for:
- work completed through the cancellation date, measured by completed milestones or, for partly completed milestones, a proportional share of the milestone fee; and
- non-cancellable third-party costs incurred for the project (for example, software licenses, subscriptions, or contractor commitments).
- If your payments exceed those amounts, Rystedt Advisory refunds the difference. If they are less, Rystedt Advisory invoices the difference.
- Deliverables completed and paid for are handed over to you at cancellation.
4. Maintenance
- Billing: Maintenance is billed annually in advance by default. A monthly payment option is available and costs 15% more over a year. Monthly Maintenance is billed in advance on the same date each month.
- Start date: Maintenance begins at Implementation go-live.
- Automatic renewal: Maintenance renews automatically for another term of the same length unless either party cancels in writing at least 30 days before the renewal date. Rystedt Advisory will send a renewal reminder 30 to 45 days before an annual renewal. Renewal pricing may change with at least 60 days' written notice before renewal.
- Annual plan cancellation: You may cancel an annual plan in writing within 14 days of the start of a term for a full refund, provided no Maintenance work has been requested in that term. After that window, annual Maintenance is non-refundable and continues through the end of the paid term. Cancelling an annual plan stops the next renewal.
- Monthly plan cancellation: You may cancel a monthly plan with 30 days' written notice. Service continues, and billing continues, through the end of the notice period. Months already billed are not refunded.
- Cancellation by Rystedt Advisory: If Rystedt Advisory ends Maintenance for reasons other than your breach or non-payment, you receive a prorated refund of any prepaid fees for the unused portion of the term.
5. Refunds
- How refunds are issued: Approved refunds are issued to the original payment method through Stripe within 10 business days of approval. Your bank or card issuer may take additional time to post the refund.
- Processing fees: Rystedt Advisory absorbs Stripe processing fees on refunded transactions and does not deduct them from your refund.
- What is not refundable: Third-party costs already incurred, and services already delivered, except as stated above.
- Service issues: If you are not satisfied with delivered work, contact Rystedt Advisory first. If the work does not materially match the SOW, Rystedt Advisory will correct it, rather than refund it, as described in the Terms of Service.
6. Late payments and paused work
Invoices are due net 15 (within 15 days of the invoice date). Balances that remain unpaid 30 days or more after their due date accrue interest at 1.5% per month (or the maximum allowed by law, if lower), as permitted by O.C.G.A. § 7-4-16. Separately, Rystedt Advisory may pause work, including Maintenance coverage, after written notice when an invoice is more than 15 days past due. Pausing for non-payment does not extend a Maintenance term or create a refund.
7. Disputed charges and chargebacks
If you believe a charge is incorrect, email Rystedt Advisory within 30 days of the charge and we will review it and respond within 5 business days. Please contact us before filing a chargeback. If a chargeback is filed for services delivered as agreed, Rystedt Advisory may pause work until it is resolved and may seek the amount owed plus reasonable dispute fees.
8. How to cancel or request a refund
Send a written request by email to joshua@rystedtadvisory.com with your company name, the service, and the requested cancellation date. Rystedt Advisory will confirm receipt within 2 business days. Notice periods begin on the date we receive your email.
